General description of Track & Trace

  • The Track & Trace system gives cargooffice users the possibility to follow their shipments along its logistical chain.
  • Changing shipment status are visible inside Track & Trace screens of your cargooffice.
  • Access to track & Trace screens is restricted. Users will only see information about their shipment(s).
  • Different communication equipment can be used to sent new shipment status to the system: PC's, boardcomputers, handhelds, PDA's, pocket PC', smartphones, etc.

Advantages of using Track & Trace

  • Shipments can be traced by all different parties involved: manufacturers, planning, staff, management, drivers, customers, clients of customers, recipients, etc.
  • Less phone calls or communication between different parties. All information is visible in your cargooffice. Every party involved wins time and misses costs.

How to start, create users

First you have to create users. You are able to restrict access to users, depending on the kind of information you like to share.
Note: To create users you have to be a level-70 user yourself.

  • Tracktrace users are already created when this user was originally created as an orderentry user.
  • Those provided with a tracking number do not need to log in, they can check their shipment in your frontoffice->track & trace->Track by Trackingnumber or by typing in the recipients postcode in "Track by postal code".

How to use a trackingnumber

When an order is inserted into the cargoOffice by using the orderentry system, booking details can be printed.

  • In the upper right corner of the bookingdetails a trackingnumber is provided.
  • It is up to the cargoOffice users to distribute this trackingnumber to their clients.
  • Bookingdetails of inserted orders can always be found when pressing "dossier" in Overview of active orders (Frontoffice->Track & Trace, Backoffice-> Track &Trace).

Clients can use the provided trackingnumber in a user's cargoOffice (Frontoffice-> Track by Trackingnumber)

  • 1. Clients fill in a trackingnumber.
  • 2. Provided informations contains i.e. delivery date and latest status of shipment.
  • Shipments can also be traced by "postal code" or "reference code", than clients should use "Track by postal code" or "Track & Trace, General Form".

Overview Active shipments


Note: Some cargoOffices still use older versions of shipment screens. In these older screens the same functionality is available (allthough less). If you prefer to use this most updated screen, then contact your supplier or send us a request by using your Bug Tracking System.
  • 1. Adding a new shipment (by using orderentry: see OrderentryDocumentation)
  • 2. Download all selected orders as a CSV-file on a local computer or network.
    CSV-files are easily imported into openOffice or into Microsoft excel software.
  • 3. A selection can be made of all shipments between these delivery dates. When using this option do not forget to checkmark it and press "go".
  • 4. Specific filters can be created. When using this option do not forget to checkmark it and press "go".

  • 5. Selection on all displayed columns can be made. When using this option do not forget to checkmark it and press "go".
    Note: allmost all columns used in your orderentry screen can be created in this list of active shipments. If you like specific adjustments, please contact us by sending a request from your Bug Tracking System.
  • 6. Select the amout of shipments you like to be created per page.
  • 7. Decide if you want your results to be shown ascending or descending. The way results are sorted could also depend the way you have selected your column headers (see 9).
  • 8. Clicking the link of a particulair order (dossier or shipmentID) will show all booking details including all statusses of this particulair shipment.
  • 9. Three different sortings can be made. The darkest colour is the first, the lightest colour is the last. When a first sorting is made, results can be the same. When results are the same then a second (and third) sorting can be made. This way a more refined list of results is presented.
  • 10. For every selected shipment, new statussus can be given in. Read more in: ShipmentStatus.
  • 11. Edit this particulair shipment.
  • 12. All shipments can be selected.
    Selecting all shipments or deselecting all shipments can be done by clicking the selection box located on top of all selection boxes.
    For one or more selected shipments simultaneous actions can be performed, like printing stickers or showing bookingforms.
    Some of the possible actions shown in this listbox are defined in backoffice->settings->parameters->orderentry.
