General description of Track & Trace

  • The Track & Trace system gives cargooffice users the possibility to follow their shipments along its logistical route.
  • Changing shipment status are visible inside Track & Trace screens of your cargooffice.
  • Access to track & Trace screens is restricted. Users will only see information about their shipment(s).
  • Different communication equipment can be used to sent new shipment status to the system: PC's, boardcomputers, handhelds, PDA's, pocket PC', smartphones, etc.

Advantages of using Track & Trace

  • Shipments can be traced by all different parties involved: manufacturers, planning, staff, management, drivers, customers, clients of customers, recipients, etc.
  • Less phone calls or communication between different parties. All information is visible in your cargooffice. Every party involved wins time and misses costs.

How to start, create users

First you have to create users. You are able to restrict access to users, depending on the kind of information you like to share.
Note: To create users you have to be a level-70 user yourself.

  • 1. Go to your backOffice, tracktrace settings and click “Add user tracktrace”.
  • 2. Fill in an userID. We prefer you use the current email address of this user. We know that this address is unique for this user and will not conflict with other users. We also use this address to sent notices to this user whenever a problem may occur.
    Note: this address will not be used for commercial use.
  • 3. Fill in other user details. Password, Email, customerID and User group are manditory.
    • customerID: user belonging to which customer/company (allthough we suggest to use numbers, it is an alphanumeric value).
    • User Group: Customers normally gets 10, staff 20, administrators 70.
      • From level 20 users are able to get into your backoffice.
      • Level 70-users are given access to all systems.
      • Users lower than level-70 have to be added per system.
      • Tracktrace users are already created when this user was originally created as an orderentry user.
  • Those provided with a tracking number do not need to log in, they can check their shipment in your frontoffice->track & trace->Track by Trackingnumber or by typing in the recipients postcode in "Track by postal code".

How to use a trackingnumber

When an order is inserted into the cargoOffice by using the orderentry system, booking details can be printed.

  • In the upper right corner of the bookingdetails a trackingnumber is provided.
  • It is up to the cargoOffice users to distribute this trackingnumber to their clients.
  • Bookingdetails of inserted orders can always be found when pressing "dossier" in Overview of active orders (Frontoffice->Track & Trace, Backoffice-> Track &Trace).

Clients can use the provided trackingnumber in a user's cargoOffice (Frontoffice-> Track by Trackingnumber)

  • 1. Clients fill in a trackingnumber.
  • 2. Provided informations contains i.e. delivery date and latest status of shipment.
  • Shipments can also be traced by "postal code" or "reference code", than clients should use "Track by postal code" or "Track & Trace, General Form".
